Applicant Privacy Notice

If you have applied for a position, contractor engagement, or licensed agent role with Guided Home Realty, this notice tells you what personal information we collect during the hiring process and what your rights are under California law.
Scope
This Applicant Privacy Notice describes how Guided Home Realty collects, uses, and discloses personal information of California applicants for employment, independent-contractor engagements, and prospective licensed real estate agents who join our brokerage. This notice is provided in accordance with the California Consumer Privacy Act of 2018 as amended by the California Privacy Rights Act (collectively, the 'CCPA').
Categories of personal information we collect
· Identifiers — name, alias, postal address, email, telephone, driver's license or state ID number, real estate license number · Professional and employment information — resume content, work history, education, references, professional licenses, certifications · Records protected by the California Customer Records Act — signature, education, employment, employment history · Internet activity — pages viewed on our careers page, IP address, device information · Sensory information — voicemails or recordings made during the interview process where you have consented · Inferences — preliminary fit evaluations and seniority scoring drawn from the above · Background-check information — only after a conditional offer of employment or engagement and only with your written authorization under the California Investigative Consumer Reporting Agencies Act
Sensitive personal information
We do not collect Social Security numbers, financial account information, precise geolocation, immigration status documentation, racial or ethnic origin, religious beliefs, union membership, contents of personal communications, biometric data, health information, or sexual orientation information during the application stage. If post-offer onboarding requires any sensitive personal information (e.g., I-9 documentation, direct deposit information), it will be collected separately and used only for the specific purpose stated.
How we use applicant information
· Evaluate your application against role requirements · Communicate with you about the role and schedule interviews · Verify the information you provide (employment, education, references, real estate license status) · Conduct background checks (only after a conditional offer) · Make hiring or engagement decisions · Onboard you if you accept an offer · Maintain records of applicant flow as required by state and federal law · Comply with our legal obligations, including DRE supervision requirements
Sources of information
Directly from you, from references you provide, from a third-party background-check vendor under your written consent, from the California DRE Public License Lookup (for verification of any claimed real estate license), and from publicly available professional networks (LinkedIn) only where you have made the information public.
Disclosure of applicant information
We share applicant information only with: (a) our internal hiring team and the Designated Broker, (b) third-party service providers under written contracts that prohibit secondary use (applicant-tracking software, background-check vendors, e-signature platforms), and (c) government agencies as required by law or in response to a valid subpoena. We do not sell or share applicant personal information for cross-context behavioral advertising. We have not sold or shared any applicant personal information in the prior twelve months.
Retention
We retain applicant records for three years from the application date if no offer is made, in accordance with EEOC and California recordkeeping requirements. If you are hired or engaged, your personnel records are retained for the duration of the engagement plus the statutory retention period (generally seven years).
Your rights as a California applicant
Under the CCPA you have the right to: · Know what categories of personal information we collect and how we use them · Request access to the specific pieces of personal information we have collected about you · Request correction of inaccurate personal information · Request deletion of your personal information, subject to legal exceptions · Limit our use of any sensitive personal information · Not be retaliated against for exercising any of these rights To exercise any of these rights, email privacy@guidedhomerealty.com with 'Applicant Privacy Request' in the subject line. We will verify your identity before responding and will respond within 45 days as required by the CCPA.
